Booking Terms & Conditions

Designed to protect both our travelers and our company by setting out, in clear language, what each party can expect before, during, and after a booking.

Welcome, and thank you for choosing Gateway2Morocco Travel. By paying a deposit or any portion of the trip price, the client confirms that these Terms have been read, understood, and accepted on behalf of all travelers included in the booking.

Section 01

Our Role

Gateway2Morocco Travel is a Canadian-registered travel agency and Destination Management Company specializing in tailor-made and small-group journeys in Morocco. We design, plan, and operate every itinerary in close partnership with a trusted network of local providers — drivers, private guides, riad and hotel owners, transportation companies, and activity specialists — many of whom we have worked with for years and consider an extension of our own team. This local network is the foundation of the experience we deliver, and it is what allows us to offer the depth, access, and authenticity our clients value.

While we curate, supervise, and stand behind the quality of every supplier we recommend, the actual delivery of accommodation, transportation, guiding, dining, and activities is provided by these independent local partners under their own licenses, insurance, and operating standards. Some clients prefer the directness of dealing with local providers, and we are happy to facilitate that. Gateway2Morocco Travel does not own or directly operate all such services and is not responsible for acts, omissions, delays, closures, interruptions, or operational decisions of independent suppliers, except to the extent directly caused by Gateway2Morocco Travel's own gross negligence or willful misconduct.

Section 02

Booking and Confirmation

A booking becomes confirmed only when Gateway2Morocco Travel has received the required signed booking form, the required deposit, and has issued a written confirmation invoice. Until that written confirmation is issued, availability, pricing, and proposed arrangements are subject to change without notice.

The client must review the confirmation invoice carefully and notify Gateway2Morocco Travel in writing within 10 days of any error or discrepancy. Gateway2Morocco Travel will not be responsible for errors not reported within that period.

Section 03

Passports, Visas, and Travel Documents

Each traveler is solely responsible for obtaining and carrying a valid passport, visas, permits, vaccination certificates, insurance documentation, and any other documents required for travel. Passports must generally remain valid for at least six months beyond the return date and should contain at least two blank pages, or more if required by the destination or airline.

For up-to-date entry requirements, US citizens should consult travel.state.gov, Canadian citizens should consult travel.gc.ca/travelling/documents, and travelers from other countries should contact the relevant embassy or consulate of every country on their itinerary.

The name on every airline ticket must match the traveler's passport exactly. Gateway2Morocco Travel does not provide legal or official immigration advice and makes no warranty regarding the completeness or ongoing accuracy of general travel-document information shared with clients. Any loss, denial of boarding, denial of entry, missed travel, or additional expense caused by missing, inaccurate, expired, or defective documents remains the traveler's sole responsibility, and no refund will be due in such circumstances unless expressly stated otherwise in writing.

Section 04

Health, Mobility, and Special Requirements

Travelers are responsible for consulting their physician before booking and again before departure, ideally at least six weeks before travel, to confirm fitness to travel and any recommended vaccinations or precautions. For up-to-date guidance, US travelers may refer to the Centers for Disease Control at cdc.gov/travel and Canadian travelers may refer to the BC Centre for Disease Control at bccdc.ca.

Certain itineraries may include high-altitude areas (above 10,000 feet / 3,048 meters), remote regions, rough roads, or limited local medical facilities, and travelers accept the ordinary risks associated with such travel.

Clients must inform Gateway2Morocco Travel in writing at the time of booking of any disability, mobility limitation, dietary requirement, allergy, medical condition, or other special requirement that may affect the trip. We will make reasonable efforts to communicate such needs to suppliers and to help assess trip suitability, but we cannot guarantee that all locations, vehicles, or accommodations will meet every personal or medical need. Guides and drivers cannot provide personal-care or one-to-one mobility assistance unless expressly agreed in writing.

Section 05

Travel Insurance

Comprehensive travel insurance is strongly recommended for every traveler and should include, at a minimum, trip cancellation, trip interruption, emergency medical coverage, evacuation or repatriation, delay, and baggage protection. Gateway2Morocco Travel is not an insurer, does not provide insurance advice, and has no responsibility for submitting, adjusting, or paying claims.

We do not endorse any specific provider, but US travelers may wish to start by comparing options through Travelex Insurance Services (1-844-233-7931), and Canadian travelers may wish to compare BCAA, Manulife, and any coverage already available through their credit card. If a traveler chooses to travel without appropriate insurance, all resulting financial risks remain entirely with that traveler.

Section 06

Pricing, Payments, and Booking Currency

6.1 Price Lock Guarantee

Once the required deposit has been received and Gateway2Morocco Travel has issued written confirmation, the total trip price shown on the confirmation invoice is locked. The price will not be increased because of currency fluctuations, supplier price changes, fuel cost changes, or any other market movement between confirmation and travel. The only exception is a new or increased government tax, levy, fee, or similar mandatory charge imposed after confirmation, which may be passed on at cost with supporting documentation.

6.2 Booking Currency

Trips may be quoted in either US Dollars (USD) or Canadian Dollars (CAD), at the client's election at the time of quote. The currency in which the deposit is paid becomes the booking currency for the entire file and cannot later be changed. All subsequent payments — balance, amendments, and any optional add-ons — must be paid in the same currency as the deposit. Any request to change booking currency after the deposit is received will be treated as a cancellation of the original booking and a new booking at current rates, subject to the cancellation charges in Section 9.

6.3 Group Bookings and Per-Person Pricing

Where pricing is based on a specific number of travelers sharing transportation, guides, drivers, accommodations, or other fixed costs, the quoted per-person price reflects the group size confirmed at the time of booking. If one or more travelers later cancel, withdraw, fail to pay, or become unable to travel for any reason, the per-person cost for the remaining travelers may be recalculated based on the revised group size, and the remaining travelers agree to pay any incremental cost resulting from the recalculation.

The lead booker is responsible for sharing these Terms with all travelers in the booking and for coordinating all payments, notices, and decisions on behalf of the group.

6.4 Deposit and Balance

Deposit amounts, balance due dates, and any required advance payments for flights, peak-season properties, or special services will be specified in the itinerary or confirmation invoice. Unless otherwise stated, the balance is due 90 days before departure. For bookings made within 90 days of departure, full payment is required at the time of booking. Failure to pay on time may, at our discretion, be treated as cancellation by the client, with the cancellation charges in Section 9 applying.

If a payment is declined or reversed, Gateway2Morocco Travel may suspend or cancel un-ticketed or unconfirmed services until cleared funds are received.

6.6 Payment Disputes

The proper first step for any service concern is the complaint-resolution process set out in Section 13, not a payment reversal. A chargeback or payment dispute is not an appropriate remedy for matters that were not raised with Gateway2Morocco Travel during the trip, for matters of personal preference, for ordinary travel inconveniences, for circumstances beyond Gateway2Morocco Travel's reasonable control, or for any matter where a reasonable remedy, replacement, or alternative was offered in good faith and declined.

This includes, without limitation, complaints relating to traffic, weather, road conditions, monument or attraction closures, delays caused by third parties, schedule changes, local operating realities, cultural differences, pacing preferences, room preferences, food preferences, or dissatisfaction with aspects of a service that were nevertheless materially delivered as booked.

If a client initiates a chargeback or payment dispute contrary to this clause, the client agrees to reimburse Gateway2Morocco Travel for the disputed amount if the chargeback is unsuccessful, together with any bank, processor, supplier, legal, collection, or administrative costs reasonably incurred in responding to or recovering the charge. Nothing in this clause limits rights that cannot legally be waived, including claims involving proven fraud, willful misconduct, or gross negligence.

Section 07

Changes Requested by the Client

If the client requests changes after confirmation, Gateway2Morocco Travel will try in good faith to accommodate them but cannot guarantee availability or unchanged pricing. Any approved change may result in additional supplier charges, airfare reissue charges, revised hotel rates, administrative fees, or full repricing of the affected arrangements. Requests to change names on airline tickets are generally treated by airlines as cancellation and rebooking, and all resulting costs are the client's responsibility.

Section 08

If the Client Cannot Travel

If, after a booking is confirmed, the client becomes unable to travel for any reason — including illness, missed connection, visa denial, border denial, government restriction, or any personal circumstance — the cancellation charges in Section 9 apply in full. This is why comprehensive travel insurance covering cancellation and interruption is strongly recommended.

Section 09

Cancellation by the Client

All cancellations must be made in writing by email or other approved written method and become effective only when acknowledged in writing by Gateway2Morocco Travel. Unless different terms are stated in the confirmation invoice for specific services such as flights, cruises, holiday-period accommodation, or special events, the following cancellation charges apply per canceling traveler:

90 or more days before departure
USD 300 per person (or CAD equivalent)
60 to 89 days before departure
USD 500 per person (or CAD equivalent)
30 to 59 days before departure
50% of total trip price
0 to 29 days before departure
100% of total trip price

Where one or more travelers cancel from a group booking, the cancellation charges above apply to each canceling traveler individually, and the per-person price for the remaining travelers will be recalculated as set out in Section 6.3.

No refund is due for unused services once travel has started. If Gateway2Morocco Travel is able to recover any amount from suppliers for unused services, any net recovery may be passed on after deduction of unrecoverable supplier charges and reasonable administrative costs.

Section 10

Changes or Cancellation by Gateway2Morocco Travel

Travel arrangements are planned months in advance and may occasionally require modification before or during travel. If a hotel, driver, route, activity, guide, or other element must be changed for operational, safety, quality, legal, or logistical reasons, Gateway2Morocco Travel may substitute a comparable service and will make reasonable efforts to provide an equivalent or better alternative when practicable.

Gateway2Morocco Travel reserves the right to cancel or alter any booking where necessary because of force majeure, government action, supplier failure, safety concerns, civil unrest, weather, road conditions, strikes, epidemic or pandemic conditions, transport disruption, monument closure, or any circumstance beyond its reasonable control. In such cases, Gateway2Morocco Travel will work in good faith to rearrange the trip or preserve value where reasonably possible, but is not liable for indirect loss, consequential loss, loss of enjoyment, additional personal expenses, or any refund beyond amounts actually recoverable from suppliers, unless otherwise required by law.

Section 11

Flights, Accommodation, and Local Services

Flight schedules, seat assignments, and operating times remain subject to airline control until tickets are issued and sometimes even after issuance. Travelers remain responsible for checking flight times, complying with check-in deadlines, and reconfirming flights when required by the carrier. We recommend reconfirming flights with the operating carrier within 24 hours of departure. Most inclusive-tour or negotiated fares are non-refundable and non-changeable after ticketing unless a flexible fare has been specifically requested and purchased.

Hotel room configurations, specific bedding, room location, views, and other preferences are requests only unless expressly confirmed in writing. Hotel and riad ratings used in Gateway2Morocco Travel materials are subjective assessments for guidance and are not based on any official classification system.

If travelers arrange optional services independently during the trip — whether through a hotel, driver, guide, concierge, or any third party — those services are outside the contracted arrangements with Gateway2Morocco Travel and are entirely at the traveler's own risk.

Section 12

Travel Advisories and Client Decisions

Travelers are responsible for monitoring official government travel advisories and health guidance before and during the trip — for US citizens, travel.state.gov; for Canadian citizens, travel.gc.ca; and the CDC at cdc.gov/travel. If a government advisory, operational event, or safety issue affects part of the itinerary, Gateway2Morocco Travel may suggest rerouting, substitution, postponement, or other reasonable changes. If the traveler chooses to proceed against advice or refuses a reasonable alternative, all resulting risk and expense remain with the traveler.

Section 13

Service Concerns and Complaints

Gateway2Morocco Travel takes traveler care seriously and is committed to resolving legitimate concerns fairly and promptly. If any traveler has a concern regarding transportation, guiding, accommodations, activities, pacing, service delivery, or any other aspect of the trip, the traveler must notify Gateway2Morocco Travel or its local representative as soon as reasonably possible during the trip so that there is a fair opportunity to investigate and, where appropriate, provide a reasonable solution. For urgent matters outside office hours, our 24-hour emergency line is +1 604-338-9087.

Most issues can be resolved quickly when raised at the time. Gateway2Morocco Travel will not be responsible for complaints, refund requests, or compensation claims relating to matters that were not reported during the trip and that could reasonably have been addressed or reduced had notice been given promptly.

If the traveler remains dissatisfied after travel ends, written notice must be provided within 30 days of return. Gateway2Morocco Travel will review the matter in good faith and respond in writing.

Section 14

Assumption of Risk and Limitation of Liability

Travel — particularly in destinations with differing infrastructure, remote areas, mountain roads, desert regions, changing weather, and evolving local conditions — involves inherent risks. By traveling, each client voluntarily accepts the ordinary risks of travel, including delays, discomfort, illness, accident, weather events, supplier error, and disruptions beyond anyone's direct control.

To the fullest extent permitted by law, Gateway2Morocco Travel shall not be liable for injury, death, loss, damage, delay, inconvenience, disappointment, emotional distress, loss of enjoyment, or additional expense arising from the acts or omissions of independent suppliers or from circumstances beyond its reasonable control. Where liability cannot legally be excluded, liability is limited to the value of the travel arrangements purchased through Gateway2Morocco Travel. Gateway2Morocco Travel is never liable for indirect or consequential loss.

Travelers remain responsible for their own property at all times and for any damage caused by them to hotels, vehicles, equipment, or supplier property.

Section 15

Photography and Marketing

Gateway2Morocco Travel may occasionally take photographs or video during trips for promotional use. Any traveler who prefers not to appear in such material should notify the company or the guide at the time, and that preference will be respected as reasonably practicable.

Section 16

Data Protection

Gateway2Morocco Travel stores client contact and booking information for the purpose of arranging travel and communicating about booked services and relevant company communications. In order to operate the trip, necessary information may be shared with airlines, hotels, drivers, guides, and other suppliers, including in countries with different data-protection standards. Gateway2Morocco Travel does not sell personal information to unrelated third parties for external marketing.

Section 17

Governing Law and Jurisdiction

These Terms are governed by the laws of British Columbia, Canada. Any dispute arising from the booking or the trip shall be submitted to the courts located in Vancouver, British Columbia, except to the extent mandatory consumer-protection law in the traveler's place of residence requires otherwise.

Section 18

Updates to These Terms

Gateway2Morocco Travel may update these Terms from time to time by posting the current version on its website at gateway2morocco.com/terms-conditions. Changes will not retroactively affect a booking already confirmed unless required by law or expressly communicated and agreed in writing. We recommend reviewing the current version before each new booking.

Section 19

Acknowledgement

By paying any deposit or other amount toward the booking, the client confirms that the client has authority to accept these Terms for all travelers in the booking and that all travelers accept the pricing rules, payment schedule, cancellation terms, complaint process, payment-dispute rules, and liability limitations set out above.

Gateway2Morocco Travel is committed to delivering thoughtful service, responsive support, and memorable travel experiences. These Terms are intended not only to protect the company, but also to ensure that concerns are handled promptly, expectations are clear, and clients can book with confidence.
